๐จโ๐ฉโ๐งโ๐ฆ Users and invitations
From Settings โ Workshop โ Users you manage who has access to the workshop, with which role, and you can invite new team members.
View the current users
The user list shows:
- User: each person's name and, below it, their email with an icon showing how they sign in: the Google logo, or a padlock if they use a password. Invitations not yet accepted show the email, the Pending label and the date they expire.
- Current role (Owner, Admin, Worker, Read-only).
At the top, next to Invite user, a counter tells you how many of the users included in your plan you are using.
Each row has one visible button โ Edit user on users and Resend invitation on invitations โ and the rest of the actions in the three-dot menu (โฎ): Change role, Reset password, Deactivate and Delete user on users; Copy link and Revoke invitation on invitations. An action that can't be done appears greyed out and, when you hover over it, tells you why.
Invite a new user
- Click "Invite user".
- Enter the person's email.
- Select the role they will have.
- Click Send.
The system generates an invitation link. The person will receive an email with the link to activate their account, and the window shows you that same Invitation link with a "Copy link" button, in case you'd rather pass it on yourself through another channel (WhatsApp, a team chatโฆ). The link works only once.
Until they accept it, the invitation appears in the list as "Pending". If the email doesn't arrive, ask the person to check their spam folder or click "Resend invitation" on their row. You can also use "Copy link", in the three-dot menu on that row, and send it to them yourself.
Invitation links expire after 7 days. If more than 7 days pass, click "Resend invitation" to send a new link.
Change a user's role
In the user list, open the three-dot menu (โฎ) on the person's row and choose "Change role". In the window that opens, choose the new role and click "Save". The change takes effect immediately.
The Owner row is locked: their role can't be changed, and they can't be deactivated or deleted. Those options appear greyed out in their menu.
Reset a user's password
If someone on the team can't log in, open the three-dot menu (โฎ) on their row and choose Reset password. You won't see any temporary password: what happens is that the system sends that person an email with a magic link so they can create a new password themselves. You never handle their password.
Deactivate a user
If someone leaves the team, deactivate their account from the three-dot menu (โฎ) on their row (don't delete it โ this way you keep the history of changes they made). A deactivated user can't log in, but their past actions remain in the history.
Who can manage users?
Only Admins and Owners. Workers and Read-only users don't see this section.
Changing the Owner can't be done from the app. If you need to transfer ownership of the workshop to another person, contact support and the BolloPrint team will handle it for you.
